Client Services Administrator, Chicago

Title: Client Services Administrator (56-16)
Location: Chicago, IL
Compensation: Commensurate with experience

Summary: Wealth/investment management firm seeks a Client Services Administrator who will be responsible for administration of individual client portfolios: client service/trading activity/month-end closing/cash monitoring/preparing performance reports/reconciling statements. This position reports to the Principal, Senior Portfolio Manager.

Responsibilities:
Open new client accounts; administer assets by auditing daily trade activity; identify errors/reconcile discrepancies
Provide assistance to Portfolio Managers: monitor account restrictions/guidelines; prepare trading allocation programs; prepare/distribute quarterly commentaries
Produce various client-related internal/external reports and client service meeting packets
Fulfill requests by clients on a daily basis
Provide daily assistance to Portfolio Managers with telephone coverage/written communications/reports
Ensure training/familiarity with accounts of fellow teammates to provide back-up/expansion capabilities for team
Maintain and foster team-oriented attitude; work in conjunction with fellow team members in self-managed team environment
Take calls directly from clients/accountants/lawyers and resolve all non-investment matters independently, informing PM for informational purposes only
Audit account activity; identify/resolve discrepancies; calculate and process statistical data/reports
Periodically provide coverage for front desk/reception

Requirements:
Bachelor of Science in Finance, Accounting, or related preferred
Minimum 3-5 years of prior experience in Portfolio Administration at an investment firm or in a trust/pension plan setting
Prior experience with and strong working knowledge of different account types (trusts/retirement accounts) performance/attributes/guidelines/account restrictions, particularly servicing individual accounts
Must have good working knowledge of financial markets/investment vehicles/strategies
Proficiency with trading systems (like Longview/Moxy) and experience with accounting systems (similar to Portia) strongly preferred; familiarity with Vermilion preferred but not required
Experience with MS Outlook/PowerPoint/Word/Excel
Successful candidate will be a proactive self-starter with ability to juggle multiple tasks independently, organize/prioritize workflow, communicate effectively/constructively within team/department/firm and possess strong attention to detail
Must possess strong analytical and number crunching skills and ability to “think outside the box” and develop creative solutions to issues as they arise.
